The WRAC Swim Team, as part of the Wenatchee Valley Summer Swim League (WVSSL), is for fun-loving swimmers who are 18 years and younger as of June 1, 2022.

PARTICIPATION PREREQUISITES:
Ages 8 and younger must be able to demonstrate ability to swim 25 yards, using any stroke unassisted and treading water for 1 minute.
Ages 9 and older require the ability of swimming two strokes for 25 yards and 1 minute of treading water.

PRACTICES:
June 13th (start as soon as your school gets out) through July 30th (7 weeks)
Mondays - Thursdays
LEVEL #1 - 7:30 - 8:15 am Advanced ages 12 -18
LEVEL #2 - 8:15 - 9:00 am Intermediate to age 11
LEVEL #3 - 9:00 - 9:30 am Beginner to age 8

MEETS:
Meets are on Thursday nights (See Schedule page).
Meets are held at all team pools and normally start at 5:30 or 6 pm and go until about 10:00.
WRAC hosted and the Championship meet are held at Wenatchee City Pool.

FEE:
Provides Coaching during workouts and meets.
  • $159 WRAC member; $189 non-member
  • Fee requires Meet Crew Commitment.

  • If you are not opting out from being part of the Meet Crew, please complete this additional Commitment form. Once this is received, you will receive a credit on your team fee.

WRAC SWIM TEAM MEET CREW HANDBOOK
Our Mission:
To provide a safe, fun and competitive swim experience, in an environment of sportsmanship and respect for fellow participants, volunteers and for the facilities used for these events.
 
MEET DIRECTOR (1 person):  
Responsible for overseeing all aspects of the event including:
  • Ensure all crew supply boxes are stocked and ready for their lead person to distribute or set up as necessary
  • Communicate with coaches throughout the process as well as train volunteers as needed
  • Arrange logistics of meet set up and tear down to meet our responsibilities with the City. 
  • Maintain full crew in all positions and find replacements for those that need to leave 
  • Make decisions as to the point at which the meet may need to be terminated weather and/or time.  Always being watchful to prepare for issues before they happen and rectify in the least disruptive manner possible.
  • Responsible for assisting the Equipment Manager with those responsibilities (below) to make sure all supplies and equipment are delivered to the pool and returned to the club; sorted out and prepared for the next meet.  
  • Work with Parent Volunteer Coordinator to ensure that all meet crew positions are filled and those volunteers are trained and equipped to be prepared for the meet.
  • Prep phone as a back-up timer in case of failure of a timer’s phone

ANNOUNCER (1 person):
  • Welcome, introduce and thank everyone involved
  • Announce the meet order and call appropriate heats
  • Start events with the sound of the horn

STARTER (1 person):
  • Responsible for starting of the clocks for all the timers
  • Responsible for merging events and making sure that the announcer and scorekeeper are informed of changes

    Located - at table under cover (if no wind)
    Table  (shared with Scorekeeper)

SCOREKEEPER (1 person at a time controls ipad but 2 people needed to allow for sharing responsibilities):
  • Monitor, review and update all results - ignore erroneous DQ’s, etc
  • Manually enter times missed or when correction is warranted
  • Adjust or fix swimmer numbers as needed
  • Change heats to a different part of the line up if needed
  • Work side by side with the starter and announcer to maintain efficient and accurate flow of the meet
  • Generate results and print for posting on the exterior wall of the building for swimmer and parent viewing asap
  • Print labels periodically through the meet to have all of these completed by the end of the meet
  • Publish the results, High Point Winners and team results

    NOTE:  IPAD will be provided to you by Meet Director, pre-loaded with the meet into the APP
    Appropriate power cords for IPAD, Printer and chargers
    Notepad, pens, pencils - other office supplies, i.e. tape

ATHLETE GUIDES - (4 GUIDES & 2 RUNNERS at one time - double crew to allow switch to a second crew at event 40):
  • Gather swimmers and line up on benches so they are ready, waiting for their turn
  • Coaches are responsible for assisting to gather swimmers for their events 
  • Line up swimmers for their heats on benches in order of their lane; swimmers move forward with each completed heat.  
    • Give each swimmer a lane assignment card to hold until they go to the starting block. 
    • Runners collect these numbers and return them back to the Wranglers.
    Supply box:
    6 benches & 12 chairs
    1 small table
    Lane cards - 6 sets of 1 - 8 (bright green laminated sheets)
    4 Heat Sheets
      6 Chair numbers, #’s 1-8 attached to chairs, Zip-Ties
    1 tent (4 tie-down buckets to fill with water and bungees - do not set up if wind is expected)
    Pens
    First Aid fanny pack
    Whiteboard - to post events being lined up

TIMERS - (12 people at one time - double crew to allow for second crew at event 40):
  • Two timers per lane
  • Stop the clock when swimmer touches wall
  • Records each swimmer’s ID number - on Relays, be sure to enter all four swimmer numbers during the race
    Supply box:
    12 heat sheets
    12 phone protectors
    12 Stopwatches (for back-up only)
    Battery Chargers (keep on scorekeeper table)
    6 kickboards (delivered by Equip. Manager) - to protect swimmers from hitting head on wall during backstroke events

STROKE & TURN JUDGES (4 people):
  • Two judges required from each team stationed on opposite sides of the pool
  • Record infractions -  ID number and what the specific infraction is.  Swimmers 8 & younger events will not be DQ’d for infractions during the first two meets of the year.

    4 black phone protectors 
    4  Stroke & Turn Judge “name cards” on lanyards

PLACER (1 person):
  • Places themselves in a location from which race finish placement can easily be seen.  Record finish order of each lane on a place sheet and submit this to the scorekeeper for verification if and when needed.  
    Supply box (in Timer’s box):
    Clipboard, pen
    Place verification slips
    Heat Sheet

RIBBONS/AWARD/RESULTS (2 people):
  • Ribbon Labels will be printed as results are generated.  Put these on appropriate ribbon and put into appropriate envelope for each team’s swimmers
  • Post results sheets onto the wall of building
    Supply box:
    Labels (have approximately 25 sheets available)
    Ribbons & big envelopes to put each team’s in to give to the coach
    Roll of Clear strapping tape to attach result sheets to wall 

EQUIPMENT MANAGER, SET-UP AND TEAR DOWN (2-4 people): 
  • Gather and transport all equipment from the club to the pool deck and set up as well as the breakdown and clean up process, along with help from all of the crew.  Returning everything back to appropriate places at the club.
    Supply TRAILER:
    3 Tables - 2 large (starter/scorekeeper) and 1 small (1 for announcer)
    20 Chairs  (more when more lanes used)
    7 Folding Benches
    2  Floor mats to cover the power cords on the deck
    2 Tents and 8 buckets/bungees
    5 stanchions for flagging (For CHAMPS only)
    In Box:
    2 Extension Cord (one with splitter)
    2 Power Strips
    Zip Ties to attach numbers to chairs; duct tape and clear tape for...just in case - nippers to cut off after meet
    Bag of flagging - to create staging area
    Duct tape/ Caution tape
Confirm who is delivering:
    All “department” supply boxes  - to be given to the lead volunteer of that area upon their arrival at the meet.  
    TWO SWIMMERS - required to pull lane lines across the pool.  City will install starting blocks and backstroke flagging

COACHES RESPONSIBILITIES:  
    Prior to, and in preparation, for each meet:
  • Coach the swimmers to develop their skill, sportsmanship and their understanding of infractions for which they can be DQ’d and what to expect when they go to the meets. 
  • Collect entry information and get all meet entries submitted by the predetermined deadline
    • Make meet entries - if home meet, merge entries and create heat sheets
    • Print 33 Heat Sheets and give these to Meet Director to put into appropriate boxes - keep 2 copies for Coaches
    • Notify swimmer’s of their events via heat sheet distribution
    • Mark left shoulder of each swimmer with ID # and event numbers on meet day morning practice
    • Send reminders to our team families and to opposing team when it is a home meet of:  who, what, when, where and why aspects of all upcoming meets at least one day prior
    • Download the meet to the IPAD for Scorekeeper and assure that its ready to be able to start the meet. 
  • Give IPAD to Meet Director as soon as this is loaded and ready for the meet
During and after each meet:
  • Arrive at 5:20 pm
  • Set up in the pre-designated swimmer meeting location to meet with all swimmers
  • Ensure swimmers all have the ID number and event numbers 
  • Instruct swimmers to listen for their event numbers and where to go when called 
  • Once inside the gate, hang WRAC Banner on fencing by team gathering location 
  • Each coach is responsible for one of the following:
    • Gathering swimmers to be lined up in staging area at proper time
    • Greet swimmers as they finish with coaching and encouragement
      • Change these roles ½ way through the meet (approximately event 40)
  • Assist meet crew with tear down and clean up at the finish of each meet; don’t leave until all work has been completed
  • Distribute ribbons at the next practice.

HOME MEET SCHEDULE - WENATCHEE CITY POOL
5:20   WRAC Volunteers start checking in to receive supplies and equipment for their area of responsibility 
6:15   Gate OPENS FOR VOLUNTEER CREW SET UP ONLY
6:25   Huddle ​for Timer/Starter/Stroke & Turn (gather near scorekeeper table-see map)
6:40   Swimmers and Spectators allowed through the gate and swimmers in Events 1-4 start warm-up in lanes 4-6.  Later event swimmers may warm up in the north most end of the pool.
6:50   Events 1-4 Swimmers report to WRANGLER tent to get lined-up
6:50   Timers and Stroke & Turn Judges take their places at pool edge
7:00   MEET BEGINS
9:45   Per our agreement with the City for pool use, swim events must finish no later than ​9:45.​ All pool area inside the fencing needs to be cleared, cleaned up and vacated by no later than 10 pm.
Please...before leaving the pool, please gather all equipment, supplies and garbage from your area and take everything outside of the pool gate to be loaded up or otherwise taken care of before the 10:00 pm deadline.
Reminders:  
  • Alcohol and dogs are NOT allowed in this public facility.  Anyone in violation of this rule will be asked to leave the pool area.
  • Only swimmers who are warming up for, or competing in, their events are allowed in the water. No one is allowed in the deep tank.  
  • Spectators are to remain outside of the flagged off areas.
